DoxTek Increases Efficiency for Central Utah Water Conservancy District

DoxTek Inc., a national leader in document management and accounting system and software integration recently completed a project to integrate the Central Utah Water Conservancy District’s (CUWCD) scanning and document management system and its current accounting system to increase efficiencies and ultimately save CUWCD customers money.

“A lack of connectivity between our accounting and document management systems was creating extra work and requiring redundant data entry into both systems,” explained Shawn Lambert, controller for Central Utah Water Conservancy District. “Delivering clean, usable water to our customers by managing our network of water facilities in the most efficient manner possible is our key mandate. DoxTek understands this mission and exceeded our expectations in their ability to deliver an integrated solution that improved our overall operational efficiency.”

As an existing client, DoxTek engineers were familiar with CUWCD’s infrastructure and had previously installed an onsite enterprise document management solution – Hyland OnBase document software. CUWCD’s OnBase system effectively stores everything from human resources and finance documents to board minutes, compliance and records reports, engineering documents and maintenance information.

After meeting with key CUWCD employees about the new challenge, DoxTek determined a solution that would solve the initial accounting issues, be compatible with the OnBase document management system and CUWCD’s existing accounting system, and benefit the entire organization. DoxTek’s solutions for CUWCD included:

  1. Automatic linking of the scanned invoice, all supporting documentation and the check image in the document management system
  2. Once a scanned invoice was successfully routed and  approved in the OnBase system automatic notification to the accounting system so payment could be processed
  3. Automatic communication of key invoice, vendor and check data between the OnBase system and the accounting system so information didn’t have to be data entered multiple times
  4. Enhanced invoice approval process of scanned invoices through 24/7 access via smart phone, laptop, iPad or desktop computer

“We listened to our client’s needs and process concerns; then identified how to make the document management and accounting systems communicate with each other and pertinent employees,” explained Michael Miles, CEO of DoxTek. “Now employees have more time to focus on their core responsibilities, can give or receive approvals much quicker, access complete information remotely for more strategic and timely decisions and redirect resources to critical new projects within the organization.”
